Exporting Tables

Save Advanced Analytics tables as Excel, CSV or PDF files with the export menu, and learn what each file contains.

What is it?

Most tables in Advanced Analytics have an export menu. It lets you save the table as a file. The menu has three options:

Prism builds these files in your browser from the rows the table has loaded on screen. Nothing is sent to Prism's server.

Why use it?

  • Share a list of pages or keywords with your team or a client.
  • Work on the data in Excel or Google Sheets, for example to sort, filter or add notes.
  • Keep a record of a period, so you can look back at it later.

Before you start

  • Open the right project in Current Project.
  • Pick the date range you want. The export holds the data for the range shown on screen. See Date ranges and Compare.
  • For PDF, allow pop-ups for Prism in your browser.

How to use it

  1. Open the table

    Go to Analytics (GA4 + GSC)Advanced Analytics and open the tab with the table you need.

  2. Set your filters

    Choose your dates. On the Category Breakdown and SEO Root Cause Analysis tabs, you can also filter by Category: and Sub-category:.

  3. Open the export menu

    Click the download menu on the table. On some tables it is an Excel icon instead.

  4. Pick a format

    Click Export Excel, Export CSV or Export PDF. Excel and CSV files download right away.

  5. Save the PDF

    For Export PDF, a new window opens with your browser's print dialog. Choose "Save as PDF" as the printer, then save.

The Keyword Explorer on the Keywords Breakdown tab is different. Its Export all N (CSV) button makes a file on the server with every matching keyword. See Full URL and keyword exports.

File names

Prism names each file after the table title. For example, an export of the "Striking distance" list gets a name based on "Striking distance". This makes it easy to tell files apart.

Understanding the data

  • Exact numbers. The screen may show short numbers such as "4.4K". The file always has the full number.
  • Rows on screen. The file holds the rows the table has loaded. For example, each keyword list in Keywords Breakdown shows the top 50 keywords, so its export has those keywords.
  • Same dates and filters. The file uses the date range and filters you set on screen.
  • Rates. Changes in rates such as CTR (clicks divided by impressions) are shown in percentage points on screen.
  • (not set). Some tables include a (not set) row. It is the part of the total that Search Console hides for privacy. See (not set) explained.

Example

For example, you want to send your content writer a list of pages that rank just off page one. You open Advanced Analytics, choose 28 days, and go to the Category Breakdown tab. Under Page-Level Opportunities, you find "Striking distance (position 11–20)". You click its Excel icon. An .xlsx file downloads with one sheet named "Data". It lists each URL with its position, impressions and clicks, using exact numbers.

Tips

  • Use Excel when you want to keep working on the data. Use PDF when you want a fixed copy to read or print.
  • If you need every URL with all its metrics, use the Full URL Data Export instead of exporting each table.

Common issues

Export PDF does nothing. Your browser blocked the new window. Allow pop-ups for Prism, then click Export PDF again.

The file has fewer rows than I expected. The export only holds the rows the table has loaded. Use Export all N (CSV) in Keyword Explorer for every keyword, or the Full URL Data Export for every URL.

The table is empty, so there is nothing to export. Check that your data source is connected and that your range has synced data. See Data issues.

Frequently asked questions

Why did nothing happen when I clicked Export PDF?

The PDF opens in a new browser window. Your browser may have blocked it as a pop-up. Allow pop-ups for Prism and try again.

Does the export use rounded numbers like 4.4K?

No. Exports always use the exact numbers, even when the screen shows a short form such as 4.4K.

Can I export the Analytics (GA4 + GSC) screen?

No. The Analytics screen has no export. Use the tables in Advanced Analytics instead.
