Keywords and Prompt Files

Upload the keywords and AI prompts Prism tracks, using Excel files with the exact column headers Prism expects.

Where to find it in Prism:Client panelKeyword Setting

What is it?

Prism tracks the keywords and prompts you give it in an Excel file.

  • Keywords are used by rank tracking: Google SERP, Bing, Play Store, App Store and YouTube.
  • Prompts are used by AI Visibility, the LLM Tool in your Prism sidebar. A prompt is a question Prism asks AI platforms.

You upload these files in two places in the Client panel:

  • Keyword Setting — in the sidebar group Keyword Setting.
  • The project form in Project settings, when you create or edit a tracking project.

Why use it?

  • To start tracking a new project.
  • To add, remove or change keywords and prompts.
  • To group them by brand, category and sub-category, so you can filter your reports.

Before you start

You need admin or owner access to open the Client panel. See Roles and permissions. If you do not have access, you see You need admin or owner access on at least one project to open this panel.

How to use it

  1. Open the Client panel

    In the Prism top bar, open the Current Project switcher and click + New project. This opens the Client panel.

  2. Open Keyword Setting

    In the Client panel sidebar, click Keyword Setting. Or open Project settings and edit a project.

  3. Get the sample file

    Click Download sample file. You get sample-keywords.xlsx or sample-prompts.xlsx.

  4. Fill in your rows

    Keep the header row exactly as it is. Add one keyword or prompt per row.

  5. Upload the file

    Upload your .xlsx or .xls file. On the project form, click Save changes.

Understanding the screen

File headers

The header row must match exactly. The columns can be in any order, but nothing can be missing and nothing extra can be added.

The Category and SubCategory values are what you later filter by, for example with Category and Sub Category on rank tracking screens, or All Categories and All SubCategories on AI Visibility screens.

  • Download sample file — a sample file with the right headers.
  • Download current file — the file Prism is using now. Start from this one to make changes.
  • Export Keywords — on Keyword Setting, downloads your keywords, for example google-keywords.xlsx.

Understanding the data

Category

A group of your website's pages, such as Blog or Products. You define categories in Category Builder, with regex rules or an Excel upload.

Prompt

A question you track in the LLM Tool, such as “best SEO agency in Delhi”. Prism checks how each AI platform answers it.

Tips

  • Always start from Download current file when you edit. That way you do not lose rows.
  • Keep category names short and spelled the same way every time.
  • Write prompts the way a real customer would ask them.

Common issues

Frequently asked questions

Which file types can I upload?

Only Excel files, .xlsx or .xls. CSV files are not accepted for keywords or prompts.
