Set Up a Project

Create a tracking project for Google, Bing, YouTube, the app stores or the LLM Tool from Project settings in the Client panel.

What is it?

A project in Prism is the workspace for one website or brand. Your admin links your account to it. Inside that project, you create tracking projects for each channel you want to follow, such as Google rankings or the LLM Tool. Each tracking project has its own domain, location, device, frequency and list of keywords or prompts.

Why use it?

Rank tracking and AI visibility reports only show data for the tracking projects you create. If a report says, for example, No Google projects linked to this account yet, you need to add a Google tracking project here.

Before you start

  • You must be a project admin or owner. Viewers cannot open the Client panel. See Roles and permissions.
  • Your account must be linked to a project. If you see No projects assigned yet, ask your admin to add you.
  • Prepare your keywords or prompts as an Excel file (.xlsx or .xls). See the file format below.

How to use it

  1. Open the Client panel

    In the Prism panel, open the Current Project switcher in the top bar and click + New project. This opens the Client panel.

  2. Open Project settings

    In the Client panel sidebar, under Workspace, click Project settings.

  3. Pick the channel tab

    Choose the tab for the channel you want: Google, LLM Tool, Bing Rankings, YouTube, Play Store or App Store. You only see tabs for channels that are turned on for your project.

  4. Click Create Project

    Click + Create Project. The Create project form opens.

  5. Fill in the form

    Complete the fields for that channel (see the table below). Fields with a star (*) are required.

  6. Upload your file and save

    Upload your Keywords or Prompts Excel file, then click Save changes. You will see Settings saved.

Frequencies and LLM platforms are set by your admin

The Sync Frequency options and the LLM platforms list come from what your admin has set up for the project. If nothing is set up, the form shows one of these hints:

  • No frequency configured on the master project for this channel — ask your admin to add one.
  • No LLM platforms configured on the master project — ask your admin to add one.

Keywords and prompts files

Only Excel files (.xlsx or .xls) are accepted. The first row must have exactly these headers. The order does not matter, but nothing can be missing and nothing extra can be added.

A category is a group for your keywords or prompts, such as a product line. You can then filter reports by category and sub-category. Read more in Keywords and prompts.

Example

For example, you want to track 50 keywords for your shoe store on Google in India, on mobile, every week. Open Project settings, choose the Google tab and click + Create Project. Enter "Shoes – Mobile" as the project name, your brand name and your domain. Pick the language, country, location and device, then choose Weekly as the frequency. Upload a file with the headers Keywords, Brand, Category and SubCategory, and click Save changes.

Tips

  • Create one tracking project per device or location you care about.
  • Use the same category names across your files so reports group neatly.
  • To change a project later, open it from the Actions column of the table. See Project settings.

Common issues

Frequently asked questions

Where is the button to create a new project?

Open the Client panel, go to Workspace then Project settings, pick the channel tab, and click Create Project. The New project button in the Current Project switcher takes you to the Client panel.

Why is the Sync Frequency list empty?

No frequency has been set up for this channel yet. The form shows a hint asking you to contact your admin, who can add one.

Why does my keywords file say Invalid headers?

The first row must have exactly the expected column names, with nothing missing and nothing extra. For keywords that is Keywords, Brand, Category and SubCategory. For prompts it is Prompts, Category and SubCategory.

Can a viewer create a project?

No. Only project admins and owners can open the Client panel, where tracking projects are created.
